Communicate workflow - User guide

This guide explains how radiologists communicate significant or critical results using the Communicate Report options, and what happens in the system for each choice. 

The workflow supports four scenarios based on severity of findings (Critical vs. Significant/Confirm) and who performs the communication (Radiologist vs. Support team)

Critical – With Support

Use when: Findings are critical and the radiologist needs help contacting the referrer. 

Workflow 

  1. Radiologist dictates the report and selects Critical – With Support. 

  2. Radiologist signs the report (Sign & Close / Sign & Next). 

  3. Initial report is delivered with a banner: “ALERT! THIS REPORT CONTAINS A CRITICAL RESULT.” 

  4. Exam moves to the Communicate tab and remains assigned to the radiologist. 

  5. Support user opens the exam and contacts the referrer. 

  6. Support user clicks Critical, which inserts a communication statement into an addendum: > THIS REPORT WAS COMMUNICATED TO [NAME, TITLE] ON [DATE] AT [TIME + TIMEZONE] 

  7. Support user edits the name/title if needed and clicks Done. 

  8. Exam returns to the radiologist’s Inflight queue. 

  9. Radiologist reviews and signs the addendum. 

  10. Final report with addendum is delivered. 

  11. Exam moves to Completed. 


Critical – Without Support

Use when: Findings are critical and the radiologist communicates directly with the referrer. 

Workflow 

  1. Radiologist dictates the report and calls the referrer. 

  2. Radiologist selects Critical – Without Support. 

  3. A communication statement is automatically added to the report: > THIS REPORT WAS COMMUNICATED TO [REFERRER] ON [DATE] AT [TIME + TIMEZONE] 

  4. Radiologist may edit the name if needed. 

  5. Radiologist signs the report. 

  6. Report is delivered with a critical banner and exam is flagged as “critical” for reporting. 

  7. Exam moves directly to Completed. 


Confirm – With Support

Use when: Findings are significant (not critical) and support assistance is needed. 

Workflow

  1. Radiologist dictates the report and selects Confirm – With Support. 

  2. Radiologist signs the report. 

  3. Report is delivered without a banner and exam is flagged as “confirm” for reporting. 

  4. Exam moves to the Communicate tab. 

  5. Support user contacts the referrer. 

  6. Support user clicks Confirm Report, which adds a communication statement to OPS Notes: > THIS REPORT WAS COMMUNICATED TO [NAME, TITLE] ON [DATE] AT [TIME + TIMEZONE] 

  7. Support user saves OPS notes and clicks Done. 

  8. Exam moves to Completed. 

No addendum is created and the report is not regenerated. However, communication note is saved in the OPS notes section and tracked as part of the critical results tracking report. 


Confirm – Without Support

Use when: Findings are significant (not critical) and the radiologist communicates directly. 

Workflow

  1. Radiologist dictates the report and calls the referrer. 

  2. Radiologist selects Confirm – Without Support. 

  3. A communication statement is automatically added to the bottom of the report: > THIS REPORT WAS COMMUNICATED TO [REFERRER] ON [DATE] AT [TIME + TIMEZONE] 

  4. Radiologist signs the report. 

  5. Report is delivered without a banner exam is flagged as “confirm” for reporting.. 

  6. Exam moves to Completed. 


Important Behavior Notes 

Auto‑Removal of Statements 

  • If a radiologist switches from a Without Support option to a With Support option (or None): 

    • The auto‑inserted communication statement is removed, unless the fixed text has been manually modified. 

Addendums

  • The same four options apply when communicating via addendums. 

  • Critical addendums with support require radiologist sign‑off after support documents communication. 

  • Confirm workflows never add banners, even for addendums.
