External Exam Share

1. Overview 

This guide walks through the full experience for an external recipient — someone without a platform login — who receives a medical imaging exam through the External Exam Share feature. It covers what the recipient receives by email, how they authenticate, what they see once inside the viewer, and what happens if their access code expires. 

Note: This guide describes the recipient-facing experience. The recipient never needs a platform account — access is granted entirely through the emailed link and temporary access code described below. 


2. What the Recipient Receives 

The external user receives two separate emails, sent in sequence:

Email 1 — Exam Link 

Medical imaging record shared with you from [Facility Group] 

Notifies the recipient that a record was shared and gives them a “View Exam Report” button. 

Email 2 — Access Code 

Temporary Exam Access Code from [Facility Group] 

Provides the 6-digit temporary access code needed to unlock the link. 


2.1 Key Behaviors 

  • Both emails greet the recipient with “Hello,” — name personalization is not implemented (per the Jul 2 requirement update), regardless of whether a name was entered in the share dialog. 

  • The access code is valid for 24 hours. 

  • If the code expires, the recipient can click an underlined, italicized “Click here” link in Email 2 to request a new code. 

  • A Confidentiality Notice appears at the bottom of both emails, stating the content is intended only for the specified recipient. 


3. Step-by-Step Recipient Flow 

Step 1 — Open Email 1 and Click “View Exam Report” 

The recipient clicks the button in the first email. This opens a browser tab pointing to the secure external viewer. 

Step 2 — Enter the Temporary Access Code 

The recipient is prompted with a simple screen:

“Please enter the temporary code sent to your email.” 

They copy the 6-digit code from Email 2 and click Submit. A “Code has been generated / Success” confirmation may appear if a new code was requested. 

Step 3 — Land on the Reporting View (Default) 

Once authenticated, the viewer opens with the Reporting tab active by default. The layout shows: 

  • Left panel: Current Report (or Current Documents/Forms). 

  • Right panel: Comparison Reports, if a prior comparable exam exists.

  • Reports render as PDF; if a PDF isn’t available, the view falls back to an HTML/text rendering of the report. 


  • If there is no comparison report available, the viewer automatically uses a single-panel layout. The recipient can still toggle manually between 1- and 2-panel view.

  • The top bar shows read-only patient/exam context: exam type, accession number, referrer, and facility — but the exam does not change status. It won’t show as “In Reading” to internal staff just because it was opened externally. 

Step 4 — Browse Prior/Related Exams 

On the right-hand Exam List, the recipient sees a list of relevant prior exams, each marked with: 

  • A page icon, indicating a report is available. 

  • An eye icon, indicating images are available. 

Clicking either icon loads that exam’s report or images into the appropriate panel. 

Step 5 — Switch to the Images Tab 

Clicking “Images” in the top navigation switches the recipient into the DICOM viewer, which supports: 

  • 1-panel and 2-panel toggle modes for comparing current vs. prior imaging. 

  • Standard viewer tools — zoom, pan, window/level, and series thumbnails at the bottom. 

  • The same Exam List on the right for jumping between prior studies. 

Step 6 — Use the Guided Tour (Optional) 

Hovering over the “?” (Tour) icon in the top-right shows a tooltip labeled “Tour.” Clicking it launches a guided walkthrough: 

  • A welcome modal explains the layout, for example: “This screen displays the current report on the left and comparison reports on the right…” 

  • The recipient can click Next to auto-advance through each section, or Skip tour at any point. 

  • The tour restarts if reopened, and its color scheme matches the platform’s theme — the icon color is white, consistent with other UI symbols. 

Step 7 — Additional Actions Available 

From the top-right toolbar, the recipient may also see: 

  • Download DICOM — download the image set. 

  • Share — re-share the link. This is present but is generally not the primary external action. 

  • Help menu — relaunch the tour or get assistance. 


4. What Happens If the Code Expires 

If the recipient waits longer than 24 hours, the following occurs: 

  1. They’re notified the access code has expired. 


  2. They click “Click here to obtain a new Temporary Access Code” — the link is italicized and underlined in the email.

  3. A new code is generated and delivered, and the “Code has been generated” success message confirms it.
